Confidentiality
In accordance with the Freedom of Information and Protection of Privacy Act (FIPPA), we do not release any information about a student's record unless it has been authorized by the student.
Confidentiality is maintained at all times when students become involved with Student Accessibility Services (SAS). A student’s registration with SAS and the fact that they have received accommodations will not be identified on any official university records, test results, academic transcripts or graduation documentation.
All disability documentation provided to the office is digitized and is kept secure and strictly confidential on an encrypted server that the university maintains. Students' personal information is not shared with anyone without their prior informed and signed consent.
All students registered with SAS sign a consent form that indicates with whom we can discuss personal information.
For the student’s safety and privacy, SAS will only communicate with the student via email using the secure university student ID. We do not send messages to Hotmail, Gmail or other non-campus and non-secure emails.

Can I change my mind about giving you consent?
Yes, you have the right to refuse or withdraw consent at any time.

Do you share my information with external third parties?
We only share your information under exceptional circumstances, for example, when we are required by law or in an emergency that could cause harm to yourself or others. Otherwise, we would only share information with external third parties – including your family, guardians or support team not affiliated with Ontario Tech - with your written consent.

How do you store my information?
We digitize the files of all students who receive accommodations and store them on an encrypted, secure server that the university maintains.

How long will you have my records?
Information collected by Student Accessibility Services will be used, disclosed, retained and destroyed in accordance with Ontario Tech University's Records Management Policy and the Access to Information and Protection of Privacy Policy.
